# Collect job applications in a hiring sheet

Applications land in a Candidates table you can filter by role and colour by stage as people move through the round.

When this happens

New submission on your job application form

Add a row to a Candidates table in Microsoft Excel with applicant name, role applied for, experience and start date

One-directional. A submission triggers the action — nothing is written back into your form.

Screening is a sorting job, and a spreadsheet sorts well. This flow drops each application into a Candidates table as it is submitted, so the role, the start date and the experience summary sit in columns you can filter rather than in paragraphs you have to read in order.

Recruiters running a small pipeline use it to keep one worksheet per hiring round. A Stage column stays out of the mapping and is coloured by conditional formatting as people move from screen to interview, and nothing the Zap writes ever disturbs it.

## Setting it up

    Publish the job application form with Position Applied For as a dropdown of the roles actually open. Free text there fragments the column you most want to filter.

    In your hiring workbook, create a Candidates worksheet and format the header row as a table with columns for Applied, Name, Email, Role, Start Date, Experience, Skills, Stage and Notes.

    Set a data validation list on Stage — Screen, Interview, Offer, Closed — and add conditional formatting so each value colours its own cell.

    Leave Stage and Notes out of the Zap. They belong to the recruiter, and since the connection runs one way, a later application cannot overwrite what someone has typed.

    In Zapier, pick formformform's New Submission trigger, connect the account, choose the application form and load a test submission so every field label shows up in the mapper.

    Add Microsoft Excel's Add Row to Table action, connect the Microsoft account that owns the workbook, and select the workbook, worksheet and Candidates table.

    Map Full Name, Email Address and Position Applied For to their columns, then run Available Start Date through a Zapier Formatter Date/Time step first so Excel reads it as a date rather than as text.

    Put Work Experience and Relevant Skills in the last two columns with Wrap Text on, send a test application, then turn the Zap on.

## Variations worth knowing

Keep a name-blind first pass

Map only Position Applied For, Work Experience and Relevant Skills into a Screening table, leaving name and email out of the sheet entirely. The full detail stays on the response in formformform, and you pull it once a shortlist exists.

One table per open role

Add Zapier Paths keyed on Position Applied For so each role appends to its own table. Worth doing when two hiring managers want separate worksheets and neither wants to filter the other's applicants out of the view every morning.

## If something isn't arriving

Available Start Date sorts into the wrong order.

The date arrives as text in the form's display format, and Excel sorts text alphabetically. Add a Formatter Date/Time step that outputs YYYY-MM-DD, map that output instead, and set the Excel column to Date.

Long experience answers make the sheet impossible to scan.

Move the long-text columns to the far right of the table, turn Wrap Text on for those columns only, and fix the row height. The full answer stays in the cell and opens in the formula bar when you click it.

## Frequently asked questions

Will a second application from the same person update their row?

No. Every submission appends a new row, so someone who applies twice appears twice. Sort by email to spot repeats, or run Remove Duplicates on the email column once the round has closed and the earlier answers no longer matter.

Can the hiring panel see the sheet without seeing everything?

Share a worksheet that pulls through only the columns they should judge on, or filter the table before sending a copy. The Zap writes to one table; what you build on top of it is a normal Excel sharing decision.

Does the applicant get a confirmation from this?

Not from Excel. The workbook is the end of the line and nothing travels back to the applicant. If you want an acknowledgement, add an email action to the same Zap after the row step so it sends once the row exists.
