# Record a paid order as a QuickBooks sales receipt

An order that has already been paid for is logged in QuickBooks as a sales receipt against the right income account.

When this happens

New submission on your prepaid order or booking form

Do this

Create a Sales Receipt in QuickBooks with the customer, the items ordered and the amount taken

One-directional. A submission triggers the action — nothing is written back into your form.

Selling prints at a match, a school shoot or a wedding fair means taking money on the spot and writing the order down somewhere. The card reader handles the payment; the sales receipt is what tells QuickBooks the income arrived and which account it belongs against.

The order form does the writing down. Package and quantity come from the buyer, prices come from your QuickBooks item list, and the receipt is posted before the stand is packed away. Photographers, market traders and anyone taking counter sales use this to avoid a Sunday-night catch-up session.

## Setting it up

    Set your print packages up as Products and Services in QuickBooks first, each with its price and income account. The form sends a package name, not a price, so the rate has to already exist on the QuickBooks side.

    Publish the print order form with its products and priced options. Create a sales receipt only after the payment status confirms that money has changed hands.

    Build the Zap with the formformform "New Submission" trigger on that form and QuickBooks Online with the Create Sales Receipt action.

    Add a Zapier filter so the Zap only runs when that payment confirmation is ticked. Orders taken but not yet paid should go down the invoice route instead.

    Map Package to the Product/Service on line one and Quantity to the line quantity, and let QuickBooks multiply them out.

    Map Print Size into the line description, so the receipt and the lab order describe the same thing when you reconcile them next week.

    Set Payment Method and Deposit To as fixed values in the Zap — card reader takings usually go to Undeposited Funds — rather than asking the buyer to choose.

    Take one live order, check it under Sales then All Sales, confirm the total matches the reader, and turn the Zap on.

## Variations worth knowing

Charge by size instead of package

Create a QuickBooks item for each print size and add Zapier paths on Print Size to select the matching one. Useful if buyers mix and match rather than taking a named package, and it keeps the income analysis by size rather than by bundle.

Keep walk-ups out of your customer list

Counter sales rarely need a customer record each. Point every receipt at one standing customer such as "Event print sales" and move Buyer Name into the receipt memo. Your customer list then holds accounts you actually bill.

## If something isn't arriving

Receipts post with a total of 0.00.

The package name coming off the form does not match a Product/Service in QuickBooks exactly. Match the wording character for character, or put a Zapier Lookup Table between the two so form wording and QuickBooks item names can differ safely.

The income shows up against the wrong account.

The income account comes from the Product/Service item, not from anything set in the Zap. Open the item in QuickBooks and check its income account. Deposit To only controls which bank or clearing account the money lands in.

## Frequently asked questions

Can buyers pay on the form itself?

Yes. Add products and priced options to the form, then collect payment through secure hosted checkout with Stripe, PayPal, or Square. Payment status is tracked alongside the response.

Should I use a sales receipt or an invoice?

A sales receipt is for money already received, an invoice for money owed. If the buyer is paying later, use the invoice recipe instead — posting a receipt for an unpaid order overstates your income and leaves nothing to chase.

The buyer changed their order after submitting. What now?

Edit the receipt in QuickBooks. The connection only carries submissions into QuickBooks, so a change made there is invisible to the form, and a second submission would post a second receipt rather than amend the first.
