## About this template

A guarantor is not a co-applicant, and a guarantor application is not a second copy of the tenant's. A co-applicant lives at the property and shares the tenancy; a guarantor lives somewhere else, gets nothing out of the arrangement, and takes on a liability that can outlast the tenancy they agreed to. Because of that, almost every question changes. Income is asked annually rather than monthly, because guarantor criteria are usually written as a multiple of annual rent rather than a rent-to-income ratio. Their own housing costs matter, because a guarantee is only real if it is affordable on top of the mortgage they already pay. And the question that decides most guarantor decisions — how many other tenancies are you already guaranteeing? — cannot be asked on the tenant's form at all, because the tenant does not know the answer.

The other half of this form is comprehension. Guarantor disputes rarely turn on the amount; they turn on someone signing without understanding that the obligation ran through a renewal they were never told about, or that they could be pursued for the whole rent rather than one housemate's share, or that the landlord did not have to chase the tenant first. So the declaration here is not a bare "I agree" checkbox. It sits underneath a paragraph that says, in plain words, what the guarantee covers — the full term and any continuation until it is ended in writing, enforceable against the guarantor personally, joint and several where more than one person signs — and the form asks separately whether the guarantor has actually been given the tenancy agreement and the guarantee document to read. An answer of "no, send them first" is a step in your process, not a refusal.

Be clear about what this form is and isn't. ## Best practices for your rental guarantor application form

Send the form to the guarantor, not to the tenant to pass on. The whole point of a separate form is that the person taking on the liability answers for themselves, in their own words, with their own consent.

Say what the guarantee covers before you ask anyone to agree to it. Full term, renewals, personal enforcement, joint and several

in plain sentences, above the checkbox, not in a document nobody opened.

Ask about existing guarantees. Someone guaranteeing three tenancies on one salary is a different risk from someone guaranteeing their first, and the tenant's application can never surface it.

Assess affordability net of the guarantor's own housing costs. An income multiple that ignores an existing mortgage flatters every homeowner who applies.

Take screening consent from the guarantor themselves. Consent recorded on the tenant's application does not authorise a check on someone else

it has to be given by the person being checked.

Give the guarantor the tenancy agreement and the guarantee document before they submit. The most common way a guarantee falls apart later is a guarantor who never saw what they were guaranteeing.

Treat requests for a cap or an end date as negotiable, not as an objection. It's cheaper to agree a limited guarantee upfront than to discover the limit at enforcement.

Don't collect the guarantor's date of birth or ID number unless your screening provider needs it. This is a third party to the tenancy, and everything you hold about them is data you now have to protect and eventually delete.

## Frequently asked questions

Why does the guarantor need their own form?

Because they're a different person taking on a different liability. A co-applicant lives at the property and shares the tenancy; a guarantor lives elsewhere and promises to pay if the tenant doesn't. Their income has to be assessed against different criteria, their screening consent has to come from them, and the one question that decides most guarantor decisions — how many other tenancies are you already guaranteeing — is one the tenant can't answer. Does submitting this form make the guarantee legally binding?

No. It records the guarantor's information and confirms they've read what the guarantee covers; it doesn't execute anything. formformform has no electronic signature field, so the guarantee itself still has to be signed the way your jurisdiction requires — often a deed or a witnessed signature — through whatever you already use for that. Say so in your confirmation message so nobody assumes the tick box finished the job.

How much income should a guarantor have?

That's your criterion to set and publish, not something a template can decide. Guarantor requirements are commonly written as a multiple of the annual rent, which is why this form asks for annual gross income rather than monthly. Whatever multiple you use, apply it consistently to every guarantor and say what it is in the opening paragraph so nobody applies who cannot qualify.

Can a guarantor live in another country?

They can fill in the form from anywhere, but enforcement is the problem: a guarantee is normally pursued where the guarantor lives, and one against someone overseas can be effectively unenforceable. That's why the form asks for a home address and how long they've lived there. Decide your own policy and state it — many landlords require a domestic guarantor or a rent-guarantee product instead.

Can the guarantor upload payslips or proof of address?

What if the guarantor wants a cap or an end date?

That's what the questions-or-conditions field is for. Guarantors often ask to limit the amount, or to end the guarantee at the first renewal rather than carry it indefinitely. Both are common and negotiable, and it costs far less to agree the limit before signing than to argue about it when you try to enforce.

Do I need a guarantor for every tenant?

No, and applying the requirement inconsistently is a fair-housing risk. Write down when a guarantor is required — below a certain income multiple, or with no verifiable tenancy history, for example — and apply it to every applicant the same way rather than deciding case by case.
