Setting it up

    Publish the Job Application Form template, keeping Position Applied For as a dropdown so the alert can be filtered per role later.

    In Zapier, trigger on formformform's "New Submission" and select your careers form.

    Add WhatsApp Notifications by Zapier with the recruiter's number as the recipient — a team number rather than an individual survives holidays.

    Lead the message body with Position Applied For and Full Name. A recruiter hiring for four roles at once needs the role before the name.

    Include Available Start Date. It is the field most likely to rule a candidate in or out before anyone reads a word of the application.

    Test with a sample application and confirm the preview alone tells the recruiter which role it is for.

Variations worth knowing

One number per role

Use a Zapier lookup table on Position Applied For so each hiring manager only gets applications for their own vacancy, rather than everyone getting everything.

Pair it with the tracker

Add a second action writing the full application to your spreadsheet or project tool. WhatsApp handles the nudge; the tracker handles the record.

If something isn't arriving

A busy vacancy floods the recruiter's phone.

Add a filter on Employment Type or Highest Level of Education so only applications meeting your minimum bar trigger a message. The rest still land in the responses view.

The CV is not in the message.

Add an upload field to the form and candidates attach a CV directly, up to 2 MB per file. Map the resulting file link into the message rather than the file itself, so the notification stays short.

Can candidates attach a CV?

Yes. Add an upload field and the file arrives with the submission, up to 2 MB each — enough for a normal CV. For a large portfolio, keep a URL field beside it so they can link to work hosted elsewhere.

Is this compliant to send over WhatsApp?

Keep the message to what a recruiter needs to triage — role, name, contact, availability. Sensitive detail belongs in your responses view, which is EU-hosted and GDPR compliant, rather than in a chat notification.

Can the recruiter reject someone from WhatsApp?

No. Nothing is written back into the form or the submission. The alert is one-directional, and the application's status lives wherever you track hiring.
