Farm paperwork moves with the calendar rather than the week. Share sign-ups open in late winter, market vendor applications close before the first Saturday of the season, u-pick slots fill through October, and a hailstorm needs a damage report live across the county within days.

A lot of the detail is identification — scrapie tag numbers, premise ID codes, brand papers, an organic certificate scan. Conditional logic keeps one registration form covering cattle, sheep and laying flocks without asking a cow-calf operator about Salmonella testing.

What farms & agriculture usually collect

Share size and pickup

CSA sign-ups need the share size, the pickup point and the season: stone fruit or mixed for a fruit share, weekly or biweekly eggs, household size and volunteer workday willingness for a farm share cooperative.

Booth space and certification

Market vendor applications ask for the business name, the products sold, booth size and electrical access, weekly or seasonal commitment, proof of vendor insurance, and — on an organic-only market — the certificate itself, uploaded with the application.

Damage at field level

A damage report is field level: affected acres, crop stage at the event, bloom stage when the frost hit, how long water stood, whether replanting is feasible. Photographs from the field attach straight to the submission.

Animal identification records

Livestock registration runs on identifiers: ear tag and premise ID for a scrapie flock, brand documentation on a cow-calf herd, tattooed ear numbers and CAE testing for goats, microchip and fibre class for alpacas.

How to set one up

  1. 1

Open CSA Membership Sign-Up and edit it like a document — type your own share names, pickup days and season dates, and the fields drop inline as you write.

  2. 2

Branch it with logic so a delivery member picks a neighbourhood zone while a farm-pickup member picks a collection day, and the bulk root-vegetable questions only show for someone who chose the winter storage share.

  3. 3

Embed it on the farm site with two lines of HTML, then print the same link as a QR code on the stand chalkboard, the market banner and the box insert.

  4. 4

Send each submission onward by webhook or Zapier so a new member lands in your mailing list and delivery sheet. The flow runs one way, out of the form into the app.

  5. 5

Add the rest from the same account as the year turns: Farm Tour Registration for u-pick weekends, Crop Damage Report after a storm, Livestock Registration Form before the fair.

Frequently asked questions

How do I take CSA share sign-ups without a payment system?

Yes. Add products and priced options to the form, then collect payment through secure hosted checkout with Stripe, PayPal, or Square. Payment status is tracked alongside the response.

Can vendors upload their organic certificate with the application?

Yes. File Upload is a field in the editor, so an organic-only market can require the certificate, and a market manager can ask for a certificate of insurance at the same time. You download or preview each file from the submission, next to the booth size and product list.

How do I collect crop damage reports from several farms after a storm?

Share one link — by text, through the county extension mailing list, or as a QR code at the co-op — and every grower files against the same form. Responses are searchable and filterable, so you can export affected acres by crop and stage for a disaster declaration or an insurance file.

Can I run u-pick and farm tour bookings by time slot?

Up to a point. There is no built-in calendar, so you list the sessions you are actually opening — sunrise slots at the sunflower field, Saturday wagon rides, the lavender distillery walk — as a dropdown, and close a date by editing the form. Group size and vehicle count come in with the booking.

Is farmworker and farm financial data stored securely?

Submissions are encrypted in transit and at rest, EU hosting is available and the service is GDPR compliant. For H-2A timesheets, farmworker housing enquiries and anything carrying acreage, revenue or Farm Service Agency history, use an end-to-end encrypted form — those answers are decrypted in your browser, so the crew list and the balance sheet stay unreadable on the server.
