The plan set, the elevation drawings and a photo of the paint chip attach to the same submission, so the committee reviews one record instead of an email thread. Can we run an HOA vote or board election through a form?

For a straw poll or a rule-change sentiment check, yes — the Community Vote Form collects support or opposition, and responses are searchable and exportable. For a binding ballot, read your CC&Rs or bylaws first: many require secret ballots, notice periods, quorum counts and proxy handling that a form will not enforce. Nothing counts the ballots for you — there are no calculated fields — so the tally happens in a spreadsheet after export.

How do homeowners send photos with an ARC application or violation report?

They attach them. The ARC application takes a File Upload field for the elevation drawings and the paint chip; the concern report takes one for the shot of the fence line or the boat on the driveway, which the homeowner usually has on their phone already. Each file arrives with the rest of the submission, and the board downloads or previews it from the response. Where the form is end-to-end encrypted, the files are sealed with the answers and open only in your browser. The ceiling is 2 MB per file, and a photo straight off a phone often lands over it, so put the limit in the field's description and ask for a link in a text field when a drawing pack is genuinely bigger.

Can residents report a covenant violation anonymously?

You decide. Leave name and contact off the form, or mark them optional, and the report arrives with only the address, date and description. Or keep them required and say why on the form: a submission is only ever read by whoever opens the responses, never posted anywhere, so the board can follow up while the reporter stays out of a conversation over the fence. Check what your governing documents say about anonymous complaints before you choose.

Can we collect assessment payments or set up a payment plan through the form?

Do we need a separate form for each amenity?
