The calendar decides most of it. Giving Tuesday and the 31 December postmark set when the pledge form must be live; the spring walk-a-thon sets when waivers and shirt sizes are due. A form captures the commitment — amount, schedule, employer match, dedication — and you collect the money through the processor you already use.

The rest is evidence. Grant codes on purchase requests, hours served and pounds distributed on volunteer logs, recorded consent before a beneficiary's story runs in a grant report. Responses stay searchable and exportable, so audit prep and the annual appeal draw on the same records.

What nonprofits & charities usually collect

Pledges and giving commitments

Amount, one-off or monthly, and the instalment schedule on a multi-year capital pledge. Fund designation, employer matching details, and the honoree name and tribute wording for a memorial gift. Payment happens in your existing processor.

Volunteer eligibility and shifts

Food handler permit status, forklift or warehouse certification, lifting ability, CERT or Red Cross training, and short-notice availability. Then the shift itself: sorting, client check-in, boxing, loading dock, or a mobile pantry route.

Household need and hardship

Food assistance and utility applications carry household size, income, dietary and medical diet needs, utility account numbers, shut-off notices, and displacement status after a flood or fire. Sensitive enough to warrant an encrypted form.

Consent and recognition wording

Permission to use a beneficiary's photo or story in appeals, impact reports and grant applications. Also the wording that has to be exact: recognition wall inscriptions, sponsor plaques, event programme ad copy, and named scholarship criteria.

How to set one up

  1. 1

Open the Donation Pledge Form template and retype the ask in your own words. The editor works like a document: fields for amount, frequency and fund designation drop in as you write.

  2. 2

Add logic so the form branches. A monthly gift asks for a start date, a matching gift asks for the employer, a memorial gift asks for the honoree and tribute message.

  3. 3

Put it where donors already are: embedded on the giving page with two lines of HTML, behind a QR code on the gala table card, linked from the year-end appeal.

  4. 4

Wire the pledge into your donor record before the campaign opens: a webhook fires on every submission, and Zapier covers the apps with no webhook of their own, so the amount, schedule and employer match land in the acknowledgement queue untouched by hand. The traffic is one-directional — the form never reads a gift officer's notes back out of the CRM.

  5. 5

Copy the same approach for volunteer shift sign-ups and hours logs, then switch the food assistance intake to an encrypted form before it collects a single household income figure.

Frequently asked questions

Can donors give money through the form?

Yes. Add products and priced options to the form, then collect payment through secure hosted checkout with Stripe, PayPal, or Square. Payment status is tracked alongside the response.

Can we run volunteer waivers and photo consent through a form?

You can capture the acknowledgement, timestamped next to the emergency contacts in the same response: a tick against the warehouse hazards a food sorting shift carries, or against a beneficiary's story appearing in an appeal letter and a grant report. There is no e-signature field type here. Before a disaster deployment roster or a story release goes live, ask whoever underwrites your volunteer insurance whether a recorded checkbox clears their bar.

Is it safe to take food assistance applications online?

Put the intake on an end-to-end encrypted form. Household income, a medically tailored diet request, a utility shut-off notice and a post-flood displacement address are then decrypted in your own browser and unreadable to anyone else who reaches the stored data. Everything else is encrypted in transit and at rest, hosting in the EU is an option, and the service is GDPR compliant. Keep diagnoses in your case management system — a pantry intake needs the dietary restriction, not the condition behind it.

Can volunteers log their own hours for grant reporting?

Yes. An hours submission form takes the date, hours served, role, and the numbers funders ask for — families assisted, pounds of food distributed, households reached on a deployment. Responses can be filtered by date range and exported, which is usually what a grant report or an audit schedule needs.

Do you offer nonprofit pricing?

There is nothing to discount yet: early access carries no charge, and neither forms nor responses are capped. That is worth most in the fortnight before a gala, when the registration form, the auction bidder form, the volunteer rota and the post-event survey all go up at once and none of them counts against an allowance. The pricing page sets out what changes when early access ends.
