Unit, issue, access

A maintenance request is useless without the unit number, an issue category your on-site team recognises, and whether the tenant will let a technician in while they are at work. Urgency comes next.

Condition at handover

Move-in checklists go room by room — walls, floors, fixtures, and in furnished or corporate units the inventory too. Photos attach to the same submission, so the scuffed skirting or the chipped worktop is on file the day the keys change hands, not argued over at move-out.

Can tenants add photos to a maintenance request?

Yes. Put a file upload field on the request and the tenant attaches the shot straight from their phone — the leak under the sink, the mould spreading across a bathroom ceiling — for you to preview or download beside the rest of the answers. On an encrypted form the files are encrypted too and decrypted in your browser. The same field carries the move-out photo set that gets compared against the move-in baseline.

Can I collect rent or a deposit through the form?

Yes. Add products and priced options to the form, then collect payment through secure hosted checkout with Stripe, PayPal, or Square. Payment status is tracked alongside the response.

Can a tenant sign a lease renewal on the form?

Not in the legal sense. There are no e-signature fields. A checkbox can record that the tenant agrees to the stated terms, time-stamped with the submission, which is enough to confirm renewal intent and start the paperwork. Execution of the lease itself stays with your existing process.

How do I run one maintenance form across a whole portfolio?

Use conditional logic. Ask which property first, then show only that property's unit numbers and only the issue types that building actually has — no elevator questions for a walk-up. Responses stay in one place, and you can filter or search them by property, unit or issue before exporting.

Is it safe to ask for income on a rent relief request?
