Setting it up

Publish the contact sales form in formformform with Full Name, Work Email, Company Name and Job Title, and keep it to what a rep genuinely needs before the first call.

In Zapier, create a Zap with the formformform New Submission trigger and select this contact sales form specifically, not a general enquiry form that also carries support questions.

Add Zoho CRM as the action app, choose Create/Update Lead, and confirm it is pointed at the Leads module rather than Contacts so existing customer records stay untouched.

Map Full Name into the Lead's Last Name field, which is the one name field Zoho CRM insists on, and add a Zapier Formatter split step first if your reps want First and Last separately.

Set Lead Source to a fixed value such as Website — Contact Sales, so these records stay distinguishable from event and newsletter leads in the same module.

Map How did you hear about us? to a custom field rather than into Lead Source itself; keeping the self-reported answer apart from the system value stops your source reports blurring.

Leave Lead Owner unmapped so Zoho CRM's assignment rules choose, or set it to one person if all inbound goes to the same desk.

Send a real enquiry through the published form, check the Lead appears in the right view with an owner attached, then switch the Zap on.

Variations worth knowing
Plenty of teams have retired the Leads module and work everything in Contacts and Deals. Swap the action for Create/Update Contact and set a Lead Source custom field on the Contact instead. You lose Zoho CRM's lead conversion step, which is the point for teams that never used it.
Add a Zapier path that reads Company Size and assigns anything above your enterprise threshold to a named owner, while everything else falls through to the standard assignment rule. The form stays one form; only the routing branches.
If something isn't arriving
Records created through the API follow assignment rules only when the rule is configured to apply to them. Open the rule in Zoho CRM setup, confirm it is active, and check its criteria actually match the values the Zap is sending — a rule keyed on a blank field never fires.
Mark Email as a unique field on the Leads layout in Zoho CRM and use Create/Update Lead rather than plain Create. The second submission then updates the record already there instead of stacking a near-identical one beside it.
Frequently asked questions
Will Zoho CRM assign the lead to a rep automatically?
It will, provided you leave Lead Owner out of the mapping and your assignment rule is set to run on records created through the API. Map an owner in Zapier and that value wins, which is what you want only when a single person handles all inbound.
What happens if someone submits the form twice?
With Create/Update Lead and Email marked unique, the second submission updates the existing Lead. Any field the person left blank the second time is sent as empty, so map only the fields you are happy to see overwritten by a newer answer.
How do I keep test and junk submissions out of the CRM?
Put a Zapier filter step between the trigger and the Zoho CRM action. Common rules are: Work Email does not contain your own domain, and Company Name is not empty. Filtered submissions still sit in formformform responses, so nothing is lost.
