Best practices for your large party restaurant reservation request
Say clearly that this is a request. A guest who thinks a table is held and turns up with eighteen people is a much worse problem than a slow reply.
Reply within a working day even if the answer is not yet yes. Group bookers are usually contacting several restaurants at once and the first real answer often wins.
Confirm severe allergies by phone before service. A form field records the requirement; it does not replace the conversation, and the detail field says so.
Put your set menu pre-order deadline in the confirmation, not on the form. It changes with the season and you do not want to republish the form each time.
Never treat the deposit acknowledgement as payment. It is a tick box; the money moves through your own terminal or payment link after you confirm the date.
Ask for final numbers on a fixed schedule. The firmness question tells you which bookings need chasing and roughly when.
Read the occasion field before you reply. A wake and a birthday need different tones, different table dressing and different service, and the same confirmation email will not do for both.
Keep the accessibility field open rather than converting it to a checklist. Guests describe the need they have, not the feature you happen to list.
