About this template
There is already a good form for the start of this relationship. formformform's Property Management Inquiry asks an owner what they own, whether it is occupied, what the rent is and which services they want — a lead form, answered by someone comparing two or three agencies. This form starts where that one ends. The owner has signed, and the questions are now operational: what is transferring, when, on what terms, and who decides what.
The centre of the form is authority. A managing agent spends the owner's money every week — a plumber, a locksmith, a replacement extractor fan — and the only thing standing between that and a difficult conversation is a spend limit agreed in advance. So the limit is a required field, with a note that setting it to zero is a decision with consequences for tenants. Alongside it sits the question that agents most often have to answer at eleven at night: the works are needed, the owner is not answering, what do we do. Four plain options, agreed in daylight. Then contractors, including whether a specific firm has to be used to keep a boiler warranty valid — a constraint that is completely invisible to an agent until the warranty is voided.
The rest is handover mechanics. Tenancies come across as a line per unit with rent and dates, which is what a rent schedule is built from; deposits are asked about separately because mis-transferred deposits attract penalties in most jurisdictions and the rules differ by country. Compliance documents are a checklist of what exists plus a link to where they live, with the checklist explicitly described as a record rather than a certificate — a form cannot make anyone compliant and nothing here is an inspection. Keys are counted, because the sets nobody can account for are the reason a lock change appears on the first statement. And two things are never typed into the form: bank details, which are confirmed by a method the owner picks and which come with a plain warning that an emailed change of payout account should be treated as fraud until confirmed by phone; and alarm or key safe codes, where the form asks who holds the code rather than what it is.

Best practices for your property management owner onboarding form
Send it with the countersigned agreement. An owner who has just signed will list tenancies and certificates; the same owner three weeks later will not answer at all.

Get the emergency rule agreed in daylight. Nobody makes a good decision about an unreachable owner at eleven at night, and having the answer on file protects the agent as much as the owner.
Never accept bank details by email, and say so on the form. Payout redirection fraud in property management works precisely because a change of account looks routine; confirm by phone on a number already held.
Ask who holds the key safe or alarm code, never the code itself. A code in a form submission is a code in an inbox and a backup.
Count key sets rather than accepting a number. Tenants, neighbours, cleaners and the outgoing agent all end up holding keys, and the total is almost always higher than the owner thinks.
Diarise the earliest certificate expiry the day the form arrives. It is the cheapest possible protection against the compliance failure that becomes an enforcement notice.
Ask about warranty-tied contractors. Using your own plumber on a boiler under manufacturer warranty is an expensive way to learn this.
Confirm the deposit position in writing before the first rent lands. Deposits held outside a scheme, or transferred without the right notice, are the most common penalty in this trade.
Send it again if the portfolio grows. A second property added by email is a property with no spend limit, no certificates and no key record.
Frequently asked questions
Why does the form not ask for the owner's bank details?
Because a payout account is the most targeted piece of information in property management, and an emailed change of bank details is the standard fraud in this trade. The form records which method your accounts team will use to confirm the account — a phone call to a number already held, a portal, or an in-person appointment — and the details themselves travel by that route.
Can owners attach their gas safety record and EPC instead of linking to them?
