The set divides by who is on the other side of the form. Transaction forms sit between an agent and a stranger: buyer questionnaires, open house sign-ins, showing and appraisal requests, commercial lease and relocation enquiries. Tenancy forms run a lease from application through move-in condition, maintenance, renewal and notice to vacate. What they share is an address and a decision. Nearly all end in a call back, which is why a phone number appears on more of these templates than an email address, and why the clerical-looking fields — unit number, plate number, forwarding address — carry the weight.
What is a real estate form?
Every real estate form does the same basic job: it ties a person to a property. On the transaction side that means the property they want — type, size, area, budget — plus the qualifiers that say how real the enquiry is: pre-approval, whether they already have a buyer's agent, when they need to move. On the management side it means their unit and the request attached to it: a leaking pipe, a fence approval, a guest parking pass, notice to vacate.
The spread is wide — a commercial lease enquiry asking for space type and square footage has little in common with a checklist rating each room at move-in — but both replace a phone call or a clipboard with a dated submission holding every field the next step needs.

Why use real estate & property form templates
Showings and leasing tours cost time you cannot recover. Asking about pre-approval, agent representation and purchase timeline before you book anything puts a thirty-day pre-approved buyer ahead of someone six months out; commercial enquiries do it with space type, square footage and term.
A maintenance request with no unit number cannot be dispatched, and a permit with no plate number cannot be enforced. Requiring them turns a stream of messages into a filterable record: four HVAC complaints in one block reads as a systemic fault, not bad luck.
Deposit deductions, seller disclosures, notice periods and guest-pass authorisations come down to who said what and when. A submission carries a timestamp and the resident's own wording, down to which closet door hinge. Whether it satisfies a given lease clause or state disclosure rule is yours to confirm.
Graded urgency and a habitability question separate a broken smoke detector from a dripping tap, and an entry-permission field stops a technician driving out to a locked door. Webhooks and the Zapier app let an emergency-tier submission trigger a Slack alert as it lands.
A buyer requesting one showing is usually requesting several. Because a submission triggers an action in an app you already use — a CRM contact, an alert to the agent on duty — the call happens while the enquiry is warm, and the sign-in list exports without deciphering handwriting.

Getting better responses
Unit number, vehicle plate and forwarding address feel like admin, so they get skipped. A guest pass with no plate cannot be enforced, and a move-out notice with no forwarding address means chasing a former tenant to return their deposit.
A single urgent tick box gets ticked by everyone. Four graded levels, with the top one spelled out in the option label — no heat, water coming in, a door that will not lock — keeps habitability issues visible and stops routine repairs jumping ahead.

What should a rental application form ask for?
Identity and contact details, current address and how long they have lived there, the previous landlord's contact, employer, income and length of employment, and a pet disclosure. Add an explicit consent field before any background or credit check, and request pay stubs or ID separately once an application is worth pursuing. Screening and consent rules vary by jurisdiction, so confirm what applies where the property is.
What goes on an open house sign-in form?
Name, phone number, email, whether the visitor already has a buyer's agent, mortgage pre-approval status and a purchase timeline. Five to seven questions is roughly the ceiling — visitors are moving through the house and will abandon anything longer. A tablet at the entry table or a QR code on the sign-in card makes signing in feel expected rather than intrusive.
Is a digital move-in checklist or move-out notice a valid written record?
It gives you a timestamped submission in the tenant's own wording with their acknowledgement attached, which is the kind of written record most leases have in mind. Treat it as evidence rather than a replacement for a document your lease or local law specifically requires. Notice periods and state-mandated disclosure forms differ, so check what applies to your property.
How do I stop maintenance requests arriving without enough detail?
Make unit number required, use an issue type dropdown covering plumbing, electrical, HVAC, appliances and structural, add graded urgency, and ask for entry permission and a preferred visit time in the same submission. A photo settles most of what remains ambiguous, so add an upload field for it — a phone photo sits well under the 2 MB per-file limit. Once the fields are consistent you can filter and search responses by unit or issue type instead of reading every message individually.
Can one form cover several properties or listings?
Yes. Add a property or building field and branch the questions from it with conditional logic, or duplicate the form per listing and share each on its own link, QR code or embed so you always know which property a submission came from.
