About this template

A painting quote is not mostly about paint. The labour sits in preparation and access: filling and sanding, stripping old wallpaper, scraping flaking paintwork, priming bare plaster, and getting a person safely in front of a surface three storeys up. A quote form that asks for a service type, a budget and a description of the project collects none of that, which is why painting estimates so often move between the email and the invoice.

This template asks for the pricing basis directly. Approximate area, in whatever form the customer has it, is the field that carries the estimate, with room count kept only as a cross-check. The surface condition checklist is deliberately specific, because filling nail holes and stripping three rooms of woodchip are not the same job, and because damp is a stop rather than a line item: it has to be traced and fixed before painting, and a painter may reasonably decline the work until it is. Number of coats is asked outright rather than assumed. Highest surface and access equipment are separate questions so that scaffold or platform hire is priced rather than absorbed.

The last section covers the things that are negotiated badly when they are left unsaid. Who supplies the paint decides whether the quote is materials-and-labour or labour-only, and who is responsible if there is not enough of it. Occupancy changes daily coverage substantially: an empty room can be twice the output of a furnished one. Who moves and covers the furniture is a real cost line and belongs in the quote, not in an argument on the first morning. Best practices for your painting quote request form

Ask for area, not rooms. A room is not a unit of anything: a small bedroom and an open-plan kitchen-diner both count as one. The area field is what your estimate should hang on, and the room count is only there to catch an implausible answer.

Make the condition checklist do the work of a site visit. Every option on it maps to a preparation task with a known duration, so a truthful set of ticks lets you quote a range with confidence and explain what would move it.

Treat damp as a stop, not a line item. If the damp option is ticked, reply about tracing the cause before quoting the decoration. Painting over active damp fails, and it fails on your name.

Price access separately in your reply. Because highest surface and equipment are separate fields, you can show scaffold or platform hire as its own line, which is the easiest part of a painting quote for a customer to understand and compare.

Confirm coats in writing. The single most common dispute in decorating is a customer who expected full opacity and a quote that priced one coat. This field gives you a recorded answer to point back to.

Settle the paint supply before you price. If the customer is supplying, say in your quote what quantity and finish you need, and who covers the delay if it is short.

Do not add a budget field. It invites an anchor that has nothing to do with area, coats or preparation, and it tends to produce quotes shaped to the number rather than to the work.

Ask for photos of the worst surfaces, not the best. In the confirmation email, request pictures of the flaking, the damp patch and the woodwork, which is where the labour is.

Is this painting quote form free?
